Systempartner Hamburg is a B2B software company focused on SaaS development. Their products are powerful – and often require detailed support and explanation. Their team was overwhelmed with manual email and phone support that left customers waiting up to 14 hours for answers. To streamline support, I built a Voiceflow custom interface that automated lead qualification—delivering reliable responses in under 60 seconds.

The impact

The problem

Systempartner Hamburg previously managed all customer inquiries manually via email and phone. On average, it could take up to 14 hours before a client received a response with a possible solution. Given the complexity of their customer issues and the limited size of their support team, staff quickly became overwhelmed. This manual approach made it difficult to provide timely resolutions and created a significant challenge in maintaining customer satisfaction.

The company needed a modern, fast, and reliable solution—one that could reduce response times to under 60 seconds while also relieving pressure on the support team and delivering a seamless customer experience.

The solution

To meet these needs, we developed a tailored Voiceflow project designed specifically for Systempartner Hamburg. The solution included:

  • A modern, branded interface that aligned with their company’s style and presented a professional, user-friendly experience
  • A lead qualification process built on Alex Hormozi’s CLOSER Framework, ensuring that inquiries were guided efficiently and that high-quality leads were captured
  • Three layered knowledge base fallbacks to guarantee reliability and provide accurate, consistent answers even for complex customer queries

This approach not only modernized their customer support process but also transformed it into a scalable system capable of handling inquiries quickly and effectively—improving both customer satisfaction and internal efficiency.
